A retainer is a symptom
Platforms that need a permanent services relationship usually need one because they cannot be changed by the people who use them. The monthly fee is not buying you expertise, it is buying you access to the only people who can operate the thing you already bought.
So the product has to carry it instead
That means the training has to be complete rather than partial, the walkthroughs have to be available at the moment of confusion rather than in a scheduled session, and changing a workflow has to be safe enough for a non-technical administrator to do unsupervised.
You are right to be suspicious of a company that removes its own recurring services revenue. So here is the trade openly.
We are betting that a product people can operate themselves sells more seats than a product that needs us. If we are wrong, you will find out quickly, because you will be unable to change something and we will not be there to do it for you. That is the deal, and it is why the training has to be genuinely complete.
Four steps, then we step back.
The whole onboarding is designed around one principle: the person who configured it is the person who will need to change it, so it should be somebody at your company rather than somebody at ours.
Discovery, one session
Which departments you are turning on first, what has to come across, and what your existing systems are. We are looking for the shapes of work you repeat, not a complete requirements document.
Build and migrate
Records brought across, connections configured, stages and templates set to match how you actually work. This is the part we do with you rather than for you, because the person who built it is the person who can change it.
Train by role
Each team takes the University track for their seat. Short, specific to what they do, and available afterwards whenever somebody new joins rather than only during launch week.
Hand over the keys
Your administrator owns roles, automations and workflow changes from that point. We step back deliberately, and the walkthrough agent stays available inside the product for everybody else.
The last two steps are where you end up living.
Everything before the handover happens once. Everything after it is you operating your own platform, with an agent available inside it whenever somebody needs showing rather than telling.
